Why RCMFlow exists

Your team is brilliant. Their tools are spreadsheets.

Every billing company we know runs payer work across Excel tabs, sticky notes, and one person's memory. It works — until it doesn't.

🧾

Denials sit until they expire

Appeal deadlines live in nobody's calendar. Every missed timely-filing window is money your client loses — and a conversation you don't want to have.

🗂️

Credentialing chaos across clients

EDI, ERA, EFT, portals, W9s, revalidations — seven workstreams per payer, per provider, per group, scattered across files named FINAL-v7.xlsx.

📞

Clients ask "what's the status?"

Every status call interrupts your team. Clients deserve a live view of their own work — without seeing your other clients or your internal notes.

The platform

Three modules. One login. Every client.

Everything hangs off your client groups — providers, payers, logins, documents, and work items, with per-employee access control.

Module 01

Appeals Pro

Turn denials into payer-ready appeal letters in minutes — grounded in the denial reason, not generic templates.

  • AI-drafted letters aware of CARC/RARC denial codes
  • Timely-filing deadline tracking per payer
  • Letter library with statuses: drafted → sent → overturned
  • Medical-records & medical-necessity denial workflows
Module 02

Credentialing & Enrollment

Per-payer workstreams for every provider and group — the Florida-grid workflow, systematized.

  • Credentialing, EDI, ERA, EFT, Portal, W9 & demographic updates — tracked separately
  • Prerequisite gates: PTAN, CAQH attestation, W9 auto-checked
  • Blocker flags, owner assignment & follow-up cadences
  • Document checklists with expiry alerts (license, DEA, COI)
Module 03 — roadmap

Client Portal & more

Give every practice a clean, read-only window into their own work — and nothing else.

  • Per-client portals with progress %, status timeline
  • Role-restricted employee access per client
  • Printable branded status reports
  • Coming next: eligibility checks & A/R worklists
How it works

From spreadsheet to system in an afternoon

1

Add your clients

Create each client group with its providers, locations, IDs, and payer list — or start from the pre-loaded payer master with tiers and prerequisites.

2

Assign the work

Every payer row carries its own workstreams, owner, priority, and follow-up cadence. Blockers light up amber and float to the top of the queue.

3

Let clients watch

Invite practices to their own read-only portal. Status questions answer themselves — your team stays heads-down on the work.

Built for billing companies

Multi-client by design, not by workaround

  • Your account is yours

You're the admin of your own account — your tax IDs, your team, your data. You invite who gets in; nobody signs up on their own.

  • Per-employee access control

You decide which team member sees which client. Clients see only their own group — read-only, no credentials, no internal notes.

  • EMR-agnostic

Works alongside any PM/EMR your clients use. No integrations required to get value on day one.

  • Reports your ops manager will love

Workload by owner, application aging, payer performance, and a full audit trail of who changed what, when.

"We built RCMFlow because we needed it ourselves. Our credentialing team was juggling dozens of groups across hundreds of payer enrollments in spreadsheets. Now every workstream, blocker, and deadline lives in one system — and our clients stopped calling to ask for status updates."

FAQ

Questions billing companies ask us

How do I get access?

Request a demo and we'll walk you through the platform and set up your account. There's no public sign-up — access is by invitation, so your account is created and managed by us with you as its admin.

How much does it cost?

Start with a 30-day free trial — no credit card. After that it's a flat $20 per tax ID, per month, billed monthly and cancel anytime. All modules, unlimited team members, and unlimited client portals are included.

Who can see my data?

You're the admin of your own account and you control who you invite. Access is role-based (admin / team member / client), credentials are stored encrypted, and every change is recorded in an audit trail. Clients see only their own group — never other clients, credentials, or your internal notes.

Does it replace my PM/EMR or clearinghouse?

No — RCMFlow runs alongside them. It manages the operational layer your PM system doesn't: credentialing and enrollment workstreams, appeal drafting and deadlines, document tracking, and client communication.

Can my clients get their own logins?

Yes. Each practice gets a read-only portal scoped to their own group only — live enrollment statuses, progress, and a clean update timeline. They never see other clients, portal credentials, or your internal notes and blockers.

Who's behind RCMFlow?

RCMFlow is built by an experienced U.S. medical billing and RCM team. We run appeals, credentialing, and enrollment every day — this is the software we always wished existed.
